Quick instructions for each role.
For guests
- Scan the QR on your table to open the menu — no app or account needed.
- Tap items to add them; open an item for photos, allergens, and a special request.
- Tap “Orders”, review, then “Ready to order”. A waiter confirms at your table.
- Track each item as it moves: Confirmed → Preparing → Ready to serve → Served.
- Need something? Use “Call waiter” for water, utensils, the bill, or a custom note.
For staff
- Sign in at /staff. The dashboard shows confirmations, calls, ready-to-serve, and the table map.
- Open a “To confirm” order, adjust quantities if needed, and “Send to kitchen”.
- When food is on the pass, tap “Served” from the dashboard, the order, or the table.
- Use Order entry for walk-up / counter orders (dine-in table or takeaway pickup number).
- Menu, Item availability, and Tables & QR are open to every staff account, not just admins — flip a sold-out item, add a table, or edit a price without waiting on a manager.
- The bell icon in the header toggles sound + desktop alerts for new orders and calls — mute it during a quiet shift, unmute when it gets busy.
- The sidebar collapses to icons only (the « button, top-left) if you want more room for the list/detail view.
- Turn down an order you shouldn’t have received with Reject, next to Confirm. It asks first and shows the table and total so you don’t reject the wrong one.
- Mark paid records how a bill was settled — cash, card, GCash or bank transfer — at any point, including before you’ve confirmed the order, for guests who want to pay straight away. Recording payment on an unconfirmed order also sends it to the kitchen. Senior Citizen and PWD discounts are applied here too; you’ll need the cardholder’s name and ID.
- Finish clears a table for the next guests. It won’t close an order that hasn’t been marked paid.
- Reservations shows today’s bookings with a covers count. Assign a table whenever suits you, then Seat the party when they walk in — that also opens their table so they can scan and order.
- Invoices holds every finished order and its receipt, dine-in and takeout, with a shift total and a spreadsheet export.
- Made a mistake? An Undo toast appears after key actions for a few seconds.
For the kitchen
- Open /kitchen, or tap the “Kitchen display” button above the sidebar (best on a large screen).
- Tickets appear in New / Preparing / Ready, tagged Dine-in or Takeout.
- Advance a whole ticket with the big button, or set any single item with its New/Prep/Ready pills.
- The kitchen stops at “Ready” — serving is done by front-of-house.
- Overdue tickets show a filled timer badge so nothing is forgotten.
For admins
- Open/close ordering with the “Orders open/closed” switch in the top bar.
- Staff accounts: invite a teammate with a real working login, set their role, upload an avatar, or deactivate an account — all from Staff (under Manage).
- Branding: upload your logo, set opening hours, and add Facebook / Instagram / review links — each button only shows to guests once its link is filled in.
- Analytics: orders, revenue, items sold, and average order vs. the previous period, order volume by day, best sellers, order source, and top call reasons.
- Branding → Taking payment: choose whether you take money when the order is placed or after eating. Pay-as-you-order sends the order to the kitchen as soon as you record payment.
- Branding → Tax & charges: switch on a VAT breakdown and set a service charge. Menu prices are treated as VAT-inclusive, so turning VAT on shows the split without changing what a guest pays.
- Branding → Receipt details: address, contact, TIN and a footer note, all of which appear on receipts and the printed slip.
- Branding → Table security: optionally only accept orders on a table where someone has been seated, so an old link on a past customer’s phone can’t order from home.
- Your public menu lives at deskaxes.com/r/your-store-name — share it on Facebook or Instagram. People can read the menu and book a table, but not order from it.
- Menu, Item availability, and Tables & QR work the same as for staff — admins just also see Analytics, Staff, and Branding under “Manage”.
